An international law firm in the Middle East completed a discovery phase and moved into the build stage of its digital programme. It wanted a secure, scalable practice management platform that would support its growth across the region and beyond.
The Challenge
The problems found in discovery were still holding the firm back:
- Manual workflows slowed cases and administration
- Timesheets and invoicing were split across several systems
- Documents were hard to find, causing delays and compliance risk
- Conflict and risk checks varied from team to team
- Access control lacked fine-grained permissions for sensitive matters
The platform also had to win over legal and administrative staff, with an interface simple enough for fast onboarding.
The Approach
HeadChannel worked iteratively, with regular demonstrations to senior stakeholders, continuous feedback and early usability testing. Every module defined in discovery was built and joined into one platform:
- Case management. Automated filing and categorisation, lifecycle tracking, and central matter data with activity logs.
- Documents. Search across historical files, metadata-driven retrieval and role-based access.
- Timekeeping and finance. Integrated timesheets and rules-based invoicing.
- Compliance and risk. Structured conflict checks, risk-assessment prompts and permission-based access to sensitive matters.
- Communication. WhatsApp and SMS notifications through a third-party integration, with automated updates for clients and staff.
- HR. Staff profiles, permissions and role structures in line with legal-industry standards.
The platform runs on .NET Core and Angular with PostgreSQL, on Microsoft Azure: App Service for the APIs, Static Web Apps for the front end, Service Bus for event-driven integrations, Functions for background tasks, Redis Cache for performance and Storage for documents. The build took six to eight months.
The Outcome
Automated workflows have replaced manual processes, so lawyers spend less time on admin and more on client work. Conflict checks, risk workflows, role-based access and audit trails are now consistent across the firm. Testing with users shaped the interface, and adoption across departments was fast. The platform is now the base for the firm's long-term digital plans.
