The Challenge
Smiley World, the owner of the global Smiley brand, relies on multiple systems to track worldwide brand usage and manage royalty payments. Two of the key systems in their daily operations are Salesforce, a leading CRM platform, and Smartsheet, an online project management and spreadsheet tool. Although these systems store overlapping data, Smiley World’s staff were manually updating both platforms, often resulting in duplication of effort and the risk of human error.
The challenge for Smiley World was to find a way to eliminate redundant data entry and ensure accuracy across systems, so they could generate consistent and reliable reports while freeing up valuable time for their staff.

We created a server application that runs in the background, allowing data to synchronise between Salesforce and Smartsheet in near real-time. The system was designed to update existing records and create new ones automatically, ensuring consistency in both platforms without requiring manual intervention.

Error Prevention: Data matching based on predefined parameters, like company names, ensures that updates are made only if information matches across systems, reducing the likelihood of discrepancies.
Near Real-Time Updates: Information entered into one platform is quickly transferred to the other, improving workflow efficiency and ensuring up-to-date data at all times.
